keeping up with potential clients?

I was curious to see how gyms are staying on top of the walk-ins/leads/call backs etc.?

I want to make sure that I can use something that will allow me to stay fresh and not let anyone fall between the cracks so to speak.

I planned on using something like Constant Contact for e-mail contacts, but I didn't know if that would allow me to stay up on everything or not. I'm sure this has been asked, and I searched but I'm probably overlooking it.

We follow up with a potential member once after they have come in for the free class with either and email or phone call. Non confrontational, just asking how they felt, telling them they did a great job, and seeing if they have any questions.
Zero pressure. That's it. We hear back or we don't. At the very least they reply with a thank you, some really appreciate reaching out. They may not come in now or ever....but they will certainly get another feeling about why you are different from any other "gym" out there.

I use Mind Body Online for our contact management. everyone that comes in gets a profile with a followup contact log. We follow up with them until they tell us they are not interested.

OK, I was planning on using Zen Planner so I am sure they have some type of component similar to that of Mind Body's - I just wasn't sure and it's one of those little things that I was unsure of.

ZP does have that feature. What I would do is put in "tasks" associated with that person for next day follow up, 2 week follow up, etc... and they show up in your tasks list on your dashboard.

They might have a more elegant way to automate those tasks now, Ben is constantly upgrading the functionality of ZP. I've asked him how the best way to do something would be, and then a month or two later there is now a proper function set up for what I was trying to do... top notch support with those guys.

I imagine, I've met them both a few times and got a chance to see them interact with a ton of affiliates at a local FL affiliate gathering, definitely great people who take pride in their product and support.
